Handling Mail From Unverified Customers

To help you keep track of customers who have not yet completed the verification process, we refer to them as unverified customers. Completing the verification means submitting Form 1583 and two forms of identification: a photo ID and an address ID.

So, what do you do when you receive mail from an unverified customer?

When you receive mail from an unverified customer, we recommend taking the following steps to ensure a smooth verification process:

Contact the Customer:
Reach out to the customer by email or text to inform them that you have received their mail, but they have not completed the verification process. Clearly communicate the urgency and provide a due date by which they must submit all required documents. In my case, I typically give them 5 business days to complete the verification. Clear communication is key to ensuring they understand the importance and urgency of this process.

Guide the Customer to Complete Verification:
Explain to the customer that they need to complete Form 1583 and submit two forms of identification: a photo ID and an address ID. If they cannot visit your business location, inform them they must get Form 1583 notarized. Suggest having their documents notarized online for a faster and more convenient transaction.

Hold the Mail:
Even if you do not hear back from the customer immediately, keep the mail item until the due date you provided before returning it to the post office.

By following these steps, you can help ensure that customers complete the verification process promptly, allowing them to receive their mail without any issues.
